Culture of Continuous Improvement
- Calendar
- Professional Development for 3 weeks before meeting students
- Instruction for students for 1 week in August before the fall session begins
- Student-led family conferences three times a year (no instruction on these days)
- Professional Development and coaching
- Participate in school-wide and weekly Operations and Student Support team meetings to gain important skills and understand critical information. Engage fully in team meetings to identify problems and create effective solutions.
Essential Job Functions
School Operations and Logistics
- Oversee and manage all aspects of the main office, ensuring service, organization, friendliness, and professionalism. Ensure reception and entrance spaces are clean, welcoming, and informative, and handle visitors and phone calls promptly.
- Assist core operational systems: student arrival, attendance, transitions, and dismissal
- Assist in preparing the school for the opening of the school year, including ordering curriculum and classroom supplies
- Assist in coordinating logistics for school meal services: ensure scheduling, troubleshooting, and compliance
- Manage the Free and Reduced Lunch Program and process
- Assist in planning and coordinating logistics for school-wide events, including occasional evenings or weekends
- Assist in translating documents into Spanish and provide live interpretation for events and meetings as needed
- Assist in managing facility requests, communicate with the facilities team, and ensure requests are completed
Enrollment
- Assist the student recruiting process, including outreach and tours for parents
- Assist with the upkeep of physical and digital student files and the coordination of student enrollment
- Assist in maintaining the student waiting list in accordance with State law; receive and organize applications
- Assist to ensure new student lottery is run in compliance with the law; works with school leadership to document the process followed by an impartial party
- Assist in transmitting student transfer and withdrawal paperwork to and from students’ former or current school
- Assist in ensuring student information is accurate, organized, and filed as required by State law
T echnology
- Assist school technology needs, including devices, software, and network infrastructure
- Assist distribution, maintenance, and collection of student and staff technology
Finance and Purchasing
- Assist the procurement, distribution, organization and inventory of school supplies
- Support as needed with annual financial audit process as needed (i.e., manage financial documentation/filing process to ensure efficient year-end audit)
Academic Operations
- Assist with all internal and external assessments, ensuring timely administration, scoring, and analysis
- Assist in preparing school for parent-teacher conferences, including but not limited to, printing of report cards, progress reports, and supplemental materials as required by school leadership
- Support the preparation, execution, and processing of internal and state assessments
- Support the backwards planning for tasks and projects, including but not limited to summer inventory, school year startup, scholar enrollment, assemblies, and end-of-year school closeout.

Required:
- An expansive sense of your own agency
- A hunger for feedback from all stakeholders and a commitment to continuous improvement
- A bachelor’s degree
- Oral and written fluency in Spanish
- 3-5 years of administrative office experience, preferably in a school setting
- Experience with data management systems, esp. ATS, PowerSchool, and Schoolmint
- Exceptional computer skills, with fluency in Google Suite and Excel

Compensation and Benefits
Vertex Partnership Academies offers a competitive compensation package, including:
- The salary range for this position is $75,000.00 - $90,00.00; offer will be commensurate with the candidate’s years of experience and credentials.

Physical Requirements
This role may require lifting and carrying items weighing up to 20 pounds unassisted, including assisting coworkers when needed. Requires frequent bending, reaching, repetitive hand movements, standing, walking, squatting, sitting, and looking at a computer screen for long periods at a time.
